Senior Executive Assistant
For the CEO of a logistics company in the United States. Remote, from anywhere in Latin America.
The short version
Our client runs a shipping and parcel consultancy in the United States. He has built it over fifteen years and it is still growing. He needs one person who makes sure nothing falls through the cracks, including the things he himself forgets.
Calendar and inbox are part of it. Most of the job is owning projects end to end and keeping deals moving while the CEO is somewhere else, which means being comfortable making calls without checking first.
What the job actually is
In his own words, the number one job is never dropping the ball. That means:
- Every deal has a next step, and you are the person who makes sure it happens.
- When another team owes work, you give them the deadline. You hold the calendar, so you are the only one who knows how fast things need to move.
- When a prospect goes quiet, you follow up. Two or three times. And when it is clearly dead, you bring the decision to him instead of letting it sit.
- When the CEO is the bottleneck, you push. You are allowed to book time on his calendar and sit with him until the thing gets done.
- You keep the CRM accurate, because he will not.
Who this works for
Read this part carefully. You would be working with a CEO who moves fast, says exactly what he thinks, and has no patience for formality. He will not always say good morning. He gets frustrated out loud. He will not remember your birthday.
He is also honest to a fault, owns his mistakes, and expects the same back. What he cannot work with is excuses. If you drop something, say you dropped it and fix it. That is the whole deal.

What we need from you
- Six or more years supporting a CEO, founder or C-level executive directly.
- Full professional English, written and spoken. You will be writing and speaking on his behalf, so this one is not flexible.
- Your own system for tracking follow ups. We are not going to teach you how to remember things.
- Comfort pushing back on someone more senior than you.
- You want a long term seat. He invests heavily in training, so we are looking for someone who plans to stay and grow for at least three years.
